Notice of Special General Meeting – 16 September 2025
Dear members,
We’re calling a Special General Meeting (SGM) on Tuesday, 16 September, upstairs in the YSRC building at 18:00.
The main purpose is to elect a new chairperson following my resignation.
We’ll also take the opportunity to update everyone on the club’s progress and vote on a few other matters. Full details will follow later this week.
While the chairperson role is the main vacancy, the SGM can decide on all roles.. If you’re interested in contributing, now’s a good time to get involved.
We’ve put solid systems and processes in place, making the club easier to run. Here’s a brief outline of what the roles involve:
- Chairperson: leads the committee, represents the club externally, and guides long-term direction.
- Secretary: manages meetings, keeps the member register updated, and helps with light event/admin support.
- Treasurer: handles the club’s finances, purchases, and day-to-day court operations.
If you’d prefer to help outside of a formal role, there will be smaller projects too — such as league events, junior coaching, or clubhouse planning.
A reminder: we need a 20% quorum for the meeting to go ahead, so please make every effort to attend.
If you can’t make it, you may nominate someone to vote on your behalf. While our constitution doesn’t specifically mention proxy voting, it is a widely accepted practice in South African clubs. A simple proxy form will be included with the meeting pack later this week.
